Choosing the right label dispenser: Manual dispensers for greater efficiency in the warehouse
Anyone who applies lots of labels every day will quickly realise that peeling individual labels off the backing tape is time-consuming and frustrating. The right label dispenser takes care of this step for you – and does so faster, more precisely and with less strain on your back than labelling by hand. This guide explains the different types of dispensers available, what to look out for in terms of usable width, roll diameter and stability, and for which applications manual tabletop dispensers or foldable cardboard dispensers are the better choice.
What is a label dispenser and how does it work?
A label dispenser is a mechanical device that holds a roll of labels and directs the backing tape over a sharp release edge. This deflection angle causes the label to detach itself from the liner and become ready for removal – the operator can then stick it directly onto the product, the box or the shelf compartment.
The result: you save around two to three seconds of handling time per label. At 500 labels a day, that’s around 20 minutes you’d otherwise spend lifting the label with your fingernail and peeling off the backing tape. You also avoid creases, torn labels and sticky fingers.
Manual tabletop dispenser or foldable cardboard dispenser?
The question of “manual or automatic?” rarely arises for small and medium-sized businesses – fully automatic dispensers with sensors can easily cost several hundred euros and are only worthwhile for very high throughput. In everyday practice, two designs in particular compete:
Manual metal tabletop dispenser: Sturdy design with four suction cups on the underside to prevent slipping, suitable for label rolls up to 170 mm outer diameter. Typical usable widths are 75 mm (for standard inventory and product labels) and 160 mm (for wide shipping or batch labels). These devices are the classic choice for the packing table and will last ten years or more even with continuous use.
Foldable label dispenser made of cardboard or plastic: Lightweight, portable and significantly cheaper. Ideal for occasional use, for project work or if you need to label items at multiple locations within your business. The foldable dispenser can be folded away when not in use and fits into any drawer.
What technical specifications should you look out for?
Three key figures determine whether a label dispenser is suitable for your labels:
1. Usable width: This must be at least as wide as your widest label roll. If you use a mix of labels (narrow inventory labels and wide product labels), you should allow for a generous margin. A 160mm model can easily handle narrow 40mm or 50mm rolls, offering flexibility.
2. Maximum roll diameter: Most standard rolls have an outer diameter of between 100mm and 170mm. Smaller dispenser models reach their limits here. Be sure to check the manufacturer’s specifications – otherwise, a roll that is too large will rest on the table and cannot be peeled off cleanly.
3. Roll dividers and multiple rolls: If you use several types of labels simultaneously at the same packing station (for example, shipping labels and returns notices), you can save a lot of time with a model that accommodates two or more rolls at once using roll dividers. The carrier tape of each roll then runs separately over the take-off edge.
For which applications is a dispenser worthwhile?
A label dispenser pays for itself wherever more than 50 labels are applied manually every day:
Dispatch and logistics warehouses: Dispatch labels, parcel labels and returns labels can be dispensed in sequence and applied directly. This saves a noticeable amount of time, particularly with batch dispatches.
Production and batch labelling: When printing batch labels with a date or serial number, each label goes straight from the printer to the dispenser – or you can use pre-printed rolls and process them through the dispenser.
Warehouse and shelf labelling: Anyone relabelling a large warehouse with barcode labels benefits twice over: the dispenser ensures reliable dispensing and your fingers stay clean as you work your way through the aisles with a roll of inventory labels.
Laboratory and pharmacy: Precision counts here. The dispenser ensures that the label does not crease or get soiled on the back – important for hygiene applications and documentation requirements.
Common mistakes – and how to avoid them
Incorrect label orientation: Roll labels are available with either an inside or outside wind. Before ordering, check which wind your dispenser requires. An incorrectly wound label can be loaded, but will usually not peel off cleanly.
Roll holder too small: Many beginners buy a label roll first, then a cheap dispenser – only to find that the roll doesn’t fit. Check both dimensions (outer diameter and inner core) beforehand.
Incorrect installation: Manual tabletop dispensers with suction cups require a smooth, clean work surface. The dispenser will slip on a rough wooden surface or if there is dust on the suction cup. A quick wipe with a damp cloth is sufficient – then the dispenser will hold securely.
Dispenser for the wrong location: A metal tabletop dispenser is not suitable for mobile use. Conversely, a foldable cardboard dispenser will quickly wear out if used continuously at a packing table. Choose based on the intended use, not just the price.
Which labels fit the dispenser?
In principle, a dispenser can handle all self-adhesive roll labels – i.e. inventory labels, universal labels, shipping and product labels, inspection stickers, as well as seal and security labels. The only important thing is that the roll width matches the usable width of the dispenser.
Particularly soft materials such as polypropylene (PP), PVC and thin film labels benefit from the dispenser: the sharp tear-off edge reliably separates them from the liner – when torn by hand, such soft films often tear or stick together when handled.
